Mastering the Art of the Polite Urgent Request
When requesting an urgent delivery, a little kindness can go a long way, and it shows respect for the other person’s time. Here’s how I usually go about it:
- Start with a Sorry: Seriously, it might sound silly, but leading with an apology works wonders. I’ve often said, “I’m really sorry to rush you, but…” before diving into the request.
- Be Clear: Get to the point. Explain what you need and why it’s urgent. I might say, “I need those documents by 3 PM because I have a meeting that can’t wait.”
- Express Appreciation: Always thank them in advance! Nothing feels better than knowing your efforts aren’t going unnoticed. I usually throw in, “I really appreciate your help with this!”
Plus, if you’ve built a relationship with the person you’re sending the request to, don’t hesitate to mention it. Something like, “You know how chaotic things can get, especially with our deadlines. I knew I could count on you!”
And sometimes, just for a bit of charm, I’ll even add a little joke—“I promise I’ll buy you coffee next time!” Just keeps things light and reminds them you’re human, too.
